Town of East Hampton-Account Clerk, Human Services- $56,339.71 annually for a 40-hour week
An employee in this class performs specialized clerical work in keeping financial records of some variety and complexity. The incumbent is responsible for keeping books or records that are subject to audit. Duties may include utilization of computers with financial capabilities. The work is performed in accordance with clearly established accounting methods and procedures, and is reviewed primarily through verification of financial records and statements. Does related work as required.
Responsibilities include:
- Completes purchase orders based on the Town of East Hampton approved bids or obtains cost quotes from at least three vendors.
- Places purchase orders for supplies which are ordered monthly or bi-weekly depending on status of inventory and based on Town of East Hampton approved bids or cost quotes of at least three vendors.
- Vendors submit bill statements and Town vouchers monthly, Account Clerk reviews them for accuracy, verifies that items billed for were received and places invoice with purchase order and submits to the Town Clerk for payment.
- Emails food orders, supply orders to vendors.
- Maintains agreements with vendors, updated/renewed annually.
- Assures that services such as monthly pest control, appliance maintenance schedule, and emergency repairs are completed.
- The Account Clerk stays apprised of the Town invoice payment schedule.
- After bids have been accepted, create an Excel spreadsheet with pricing and vendor information. Maintain and update bids as needed.
- Maintains vendor files, along with contact information, completed purchase orders and invoices.
- Communicates discrepancies to the Associate Administrator and Director, contacts vendor representatives with concerns and questions.
- Assists Associate Administrator to establish/maintain the appropriate internal controls for the receipt and reconciliation of payments.
- Assists the public both in person (reception area) and on the phone.
- Maintains staff PPE (Personal Protective Equipment) statements to assure they are updated in the staff file.
- Maintains and keeps Human Services Safety Data Sheets Database up to date. This is required for each item purchased/used by the Human Services Department.
- Does related work as required.
This is a full-time position, 35 hours per week, and the annual rate of pay is $56,339.71 with benefits, including paid vacation, enrollment in the New York State and Local Retirement system and health care and dental and vision coverage. Minimum qualifications: (a) Graduation from a standard senior high school or possession of a high school equivalency diploma and two (2) years of experience in computing and registering data in financial records, accounts, or journals; or, (b) Two (2) years of clerical experience, and six (6) credits in accounting from a college with federally-authorized accreditation or registration by NY State.
NOTE: Education beyond high school from a college with federally-authorized accreditation or registration by NY State including at least three (3) credits in accounting per year may be substituted for experience on a year-for-year basis.
