Town of East Hampton- Senior Office Assistant (Spanish Speaking) in the Planning Department -$57,036.10 annually for a 40-hour work week
An employee in this class performs a variety of difficult and responsible clerical and typing functions. The principal emphasis of this position is upon the wide variety of clerical tasks performed, which require the application of independent judgment and clerical knowledge. The nature of the work is such that the incumbent may be required to operate a variety of office equipment. Supervision may be exercised over a small number of employees assisting in routine details. Work is performed under general supervision and is reviewed by a supervisor through observation of results, periodic audits of work performed and by advice and assistance on unusual problems. Does related work as required.
Responsibilities include:
- Accepts and performs preliminary review of applications for accuracy and completion
- Determines where the applications are routed (committee members, planners, attorneys and/or various departments) routes all submissions to the appropriate personnel
- Assists in the processing of new applications, and suggests necessary modifications as directed by supervisor and/or Board support staff
- Reviews possible extension dates for applications with supervisor and/or Board support staff
- Assists Planner in periodically developing a new fee schedule for Planning Board applications; enters fee schedule into Govern
- Calculates all required fees for applications submitted to the Planning Board
- Does end of day tallies and proofs and reconciles all application fees collected
- Collect and inputs Planning Board fees into Govern Software
- Reconciles weekly and monthly statements; prepares EOM reports, including all Govern end of month fees; reviews this the department head who signs off on the report; batches the checks and brings them to the Finance Department
- Participates in the upgrade to OpenGov as required
- Provides information for Foil requests
- Creates, copies and mails letters as required
- Responsible for the physical and digital filing updates
- Scans paperwork into multimedia; supports scanning program (Town digitization program); assists in reviewing the uploaded files and accessibility and retrieval in Paper Vision
- Prepares vouchers and purchasing orders
- Answers phones and provides support to the public via phone, emails and presence at counter
- Directs calls to the Planner of the day during assigned hours
- Processes inspection requests BP & CO
- May attend night meetings as required

- Proficient in Spanish and can communicate in both verbally and in writing
This is a full-time position, 40 hours per week, and the annual rate of pay is $57,036.10 with benefits, including paid vacation, enrollment in the New York State and Local Retirement system and health care and dental and vision coverage.
The minimum qualifications for this position are graduation from a standard senior high school or possession of a high school equivalency diploma, and two (2) years of experience in general clerical work.
